How far in advance to book a cruise depends on flexibility. Someone willing to choose among several dates and cabin types can wait longer. A traveler who needs a particular suite, school-holiday departure, solo offer or rarely operated route has fewer substitutes and benefits from starting earlier.

Once the region and approximate travel period are known, begin looking. Expedition ships carry relatively few guests, and some itineraries sail only once or twice in a season. Early booking is valuable mainly because it preserves options: cabin location, flight schedules, hotel availability and pre- or post-cruise arrangements.

The best time to reserve is not necessarily the cheapest time of year to travel. Peak wildlife or weather periods often attract the strongest demand. A late promotion may reduce the fare while leaving awkward flights, less desirable cabins and expensive hotels.

Swan Hellenic allows an option booking to be held for four working days. If it is not confirmed, the hold expires automatically. Under the published terms, a contract is formed when written confirmation or an invoice is issued, or when immediate online confirmation appears.

Start with the experience rather than the room. Decide what region you want to see, how many days are available, how remote you are comfortable traveling and whether the embarkation city can be reached without unreasonable cost or risk.

Then read the itinerary on three levels:

• Headline route: the region and major destinations named in the voyage

• Operating pattern: sea days, Zodiac landings, shore excursions, flights, hotels and transfers

• Flexibility: the circumstances under which weather, ice, safety or regulation can change the route.

The third point is particularly important on an expedition voyage. A listed landing is an intention, not always a guarantee. Captains and expedition teams may change the order, timing or destination when conditions require it.

Once the route works, compare cabin categories. Floor area is only one factor. Deck position, balcony preference, accessibility, distance from elevators or public rooms and sensitivity to noise can matter more during the voyage. Suites also require a higher deposit under Swan Hellenic’s standard conditions, so the upgrade affects both comfort and cash flow.

Solo travelers should check the single supplement before relying on a per-person price that assumes two guests. Swan Hellenic advertises selected voyages without a single supplement, but that is a departure-specific offer rather than a promise across the fleet.

The final comparison should use the complete package. A cheaper cabin can become the more expensive trip if flights, hotel nights, transfers or shore experiences are excluded. The voyage page and written confirmation, not the first price displayed online, determine what has actually been purchased.

Swan Hellenic’s standard conditions dated April 2026 require a deposit of 20% of the cruise package price. Suites require 30%. For most markets, the remaining balance is due 120 days before departure; customers in Germany, Austria and Switzerland have a published 60-day deadline.

A booking made inside the final-payment period follows a different timetable. Within 119 days of departure for most markets, or 59 days for Germany, Austria and Switzerland, the full amount becomes due after the travel confirmation is received.

Cancellation charges increase as the sailing approaches. Promotions, special itineraries, flights and separately arranged services may have their own conditions, so a generic cancellation table should never replace the terms attached to the actual booking.

Rebooking is possible only within set limits. The standard terms permit one change up to 61 days before departure when the replacement voyage begins within six months of the original date and costs more. The listed fee is 100 in the booking currency - EUR, GBP, USD or AUD - plus any third-party costs.

Changing a passenger name after confirmation can cost 50 per person in the same booking currencies. A simple spelling correction is free, although airlines may impose separate fees or refuse a change where flights are involved.

Enter each name exactly as it appears in the passport before paying. A missing middle name or reversed surname can become expensive once air tickets and travel documents have been issued.

Travel insurance is mandatory under Swan Hellenic’s current terms. Comprehensive cover is recommended for cancellation, interruption, medical treatment, emergency evacuation, baggage loss and repatriation. The confirmation or sales market may add further requirements.

Direct booking is usually simple when the traveler already knows the voyage, cabin and flight plan. A travel advisor can be more useful when several cabins are involved, flights are complex, accessibility needs must be coordinated or the trip includes hotels and touring before or after the cruise.

Whichever route is used, obtain the written confirmation and read it. Verify names, cabin category, included services and the final-payment date. A request form or acknowledgment may only show that an enquiry was received; the published conditions state that the contract is concluded through confirmation, an invoice or immediate online confirmation.

Large parties should be handled as a group enquiry. Group space, benefits and payment terms are capacity-controlled and may not match the conditions of several unrelated individual bookings.

An expedition voyage adds practical questions that are easy to overlook while comparing cabins.

Examine the embarkation city, flight schedule, arrival buffer and transfer arrangements. Where a charter or included flight forms part of the package, confirm where it begins and what happens if the traveler misses it.

Check passport validity, visas and entry rules for every relevant jurisdiction, including transit points. The reservation name should match the passport exactly.

Look for flights, hotel nights, transfers, shore excursions, expedition equipment, drinks, gratuities and Wi-Fi in the itinerary-specific description. An inclusion offered on one departure may not apply to another.

Ice, weather, port restrictions, medical events and safety decisions can alter a landing or route. Choose the voyage for the region and the style of exploration, not because one individual stop appears certain. Swan Hellenic’s terms expressly allow itinerary changes when circumstances require them.

For remote itineraries, including Antarctica, the Arctic and some African voyages, Swan Hellenic may ask for a fitness-to-travel certificate. The terms also refer to a health questionnaire administered through VIKAND.

Swan Hellenic’s public conditions do not state a separate minimum age for the person making the reservation. Guests under 18 must travel with someone aged 18 or over. The minimum guest age is 6, while remote expeditions are described as unsuitable for children under 8 except through a limited approval process.

The standard Swan Hellenic deposit is 20% of the cruise package price and 30% for suites. Promotions or special itineraries may use different payment conditions.
